We have an exciting opportunity for a part-time Receptionist, to join and support our highly motivated Administration Team!

Scope of the role

Purpose of the Position: To provide a professional and engaging image as the first point of contact for the company, both in person and via the switchboard and to provide administrative support to the wider HR team and other departments. This role is currently working 2 days at our head office in Bicester.

Key Activities & Responsibilities:

  • To ensure that the first impression any visitor receives when they enter Sysco Speciality Group is always professional, courteous, and welcoming
  • To ensure that all visitors sign in and complete the required H&S questionnaires where needed.
  • To ensure that the reception area is always in a first-class condition
  • Monitor coffee machines to ensure in working order, fully stocked and order supplies when required
  • To ensure all the meeting rooms are always presentable and that the hot desks and kitchen areas are kept tidy and stocked
  • Manage bookings for meeting rooms, hot desks and visitor parking spaces and ensure the meeting organisers have completed all required forms
  • Ensure that all meeting requirements are met and arranged in advance of meetings, including but not limited to arranging lunches and refreshment requests, providing visitor PPE
  • To manage and order stationary, business cards and uniform for the site whilst keeping costs to a minimum
  • Ad hoc administrative tasks for Directors and Senior Board members   
  • To assist the HR Team as required with ad hoc administrative duties such as letters and induction programmes
  • Use own initiative to complete daily, weekly and monthly tasks including the preparation and distribution of staff recognition schemes and updating organisational charts
  • Assist the HR and/or sales teams with any large events or visits
  • To manage incoming emails and the switchboard making sure all calls are forwarded, messages are taken and forwarded to the appropriate person, to deal with external enquiries
  • Receive, sort and distribute daily mail/deliveries
  • Working with the facilities team in making sure any reported issues are resolved
