About The Role

We are looking for an Executive Assistant to join our team. In this new role you will provide high secretarial and administrative support services for two Executive Directors, in managing the operations of their departments. You will also assist the other Executive Assistants to provide administrative support to the Executive Office, Housing Solutions Board and associated Committees,

Your key accountabilities will be:

  • Managing internal and external communications
  • Diary management, including scheduling meetings and appointments.
  • Sight of the two executive Directors email inbox(es), as required.
  • Undertaking background research and analysis and present findings.
  • Producing and reviewing reports and presentations, including charts and budgets
  • Monitor specific activities and risks, record actions and outcomes and update any relevant documents as required.
  • Processing and ensuring approval of purchase orders, invoices and expenses
  • Organising and managing meetings, including preparing and circulating agendas and reports before meetings, and taking detailed minutes.
  • Overseeing appropriate set-up of rooms ahead of meetings, including arranging IT requirements, stationary and refreshments.
  • Supporting fellow Executive Assistants to provide cover in their absence.

About you

You will be:

  • Experienced as an Executive Assistant at a senior management level
  •  An effective, diplomatic communicator, both verbally and in writing.
  • Confident communicating with senior internal and external stakeholders and members of the public.
  • Experienced in handling and being discrete with, sensitive and confidential information.
  • Passionate for delivering excellent customer service and you will care about the outcomes you produce for your customers.
  • Experienced in  planning and organising formal meetings.
  • Experienced in, and able to, take accurate minutes on a wide range of topics
  • A team player but able to work independently and prioritise work.
  • Adept at dealing with issues before they reach the respective Director and taking appropriate decisions in their absence.
  • Able to build rapport and trust quickly, and to work collaboratively to resolve issues.
  • Experienced in working in a fast-paced environment, with sometimes complex problems that need solving within tight deadlines.
  • Super organised, highly motivated, with meticulous attention to detail.
  • Able and willing to work in an office and at home.
