The main purpose of this role is to manage the flow of imported goods through administrative processes. The aim being to control Freight costs throughout the inbound supply chain and work to remove or reduce unnecessary container costs. You will also work closely with Logistics colleagues, Freight Forwarders, Buying and Merchandising functions to optimize freight lead times, drive in cost efficiency and you will work collaboratively with the Shipping Team to deliver compliance within all regulatory requirements.

What you’ll be responsible for: 

  • Administration of the processes required to prioritize deliveries to our Distribution Centres, considering the effects to Freight Forwarders, Transport and Logistic operations.
  • The monitoring and measurement of sea, air, and road freight processes via internal and external systems. Identify the requirements of various stakeholders to ensure that imported freight is delivered to schedule. Identify cost saving opportunities, supplying appropriate reporting to the relevant stakeholders. 
  • Contribute to the implementation of cost efficiency processes without degrading the specific service requirements of the Buying and Merchandising Team 
  • Day to day engagement with customs providers, freight forwarders and shipping partners, troubleshooting problems and participate in delivering solutions to the Product and Logistics Teams.
  • Work with Shipping Team to support the implementation of accurate, compliant, and effective systems for the end-to-end importing & exporting processes.
  • Monitor, report and administer amendments to shipping authorization processes, identifying non-compliance and self-optimization.
  • Work with stakeholders on specific projects to deliver improvements throughout the inbound supply chain processes.
  • Contribute to the delivery of a culture of continuous improvement. 
  • Deputize in the absence of or represent the Shipping Compliance Manager or Freight Manager being familiar with the requirements of these roles. 
  • Query management – address supplier, forwarder, and product team queries with timely responses, whilst monitoring for efficiency, quality and compliance.
  • Administer customs declarations and manage HMRC rejections to ensure timely freight dispatches.
  • Super user of some internal and external systems – train and coach new users. 

What you will need to succeed: 

  • Experience of working within an administrative role, able to adapt to new systems and processes.
  • Involvement with process design, SOP creation and administration. 
  • Communication skills proven by interaction with cross-functional peers and external customers.  
  • A strong knowledge of Microsoft and experience of adapting to non-Microsoft systems.  
  • Familiarity with assessing service levels and KPI measurements.
