About the role: The Hundred of Hoo Academy are looking for an Examinations Officer who will join their wider department in delivering the successful provision for exams across the school. Our successful candidate will be able to demonstrate experience in the organisation and administration of both external and internal examinations including entry, delivery and analysis of data, and management of the invigilation team. This key position plays a pivotal role in the success of our students’ progress and is a busy and varied role. The working basis of this role is 37 hours per week during Term Time, plus four additional weeks during inset/school holiday periods – a degree of flexibility is required from our appointed candidate.  


The Examinations Officer will liaise with school staff regarding entries and will manage the daily running of the exams. The successful candidate will have confidence in leading, guiding and directing staff and students in respect of the exams provision. It is essential that applicants have experience and working knowledge in accordance with the examination regulations within schools or colleges, are proficient users with the software Exams Organiser and further experience in admissions is desirable. 


Associated responsibilities will include the following;

  • Entering pupils for public examinations using electronic data interchange where possible and ensuring a manual back up and liaising with Exams Managers/Officers at all Trust Schools to ensure entries are made and results are forwarded. 
  • To liaise with caretaking staff with regard to the setting up of exam rooms ensuring that name cards and exam papers are set out prior to commencement of exams and that a suitable seating plan is in place.

Production of timetables as follows:

  • Production of timetable for students, staff and parents
  • Advise SLT of timetable classes so that appropriate supervision and rooms can be arranged
  • Book external invigilators and create invigilation timetable
  • Start and finish all exams both public and internal
  • Security: To ensure that exam papers are checked and stored safely in accordance with exam board rules.
  • SEN Requirements: To apply to exam boards for access arrangements for AEN students and liaise with AEN Department with regard to number of TA’s needed for each exam.
  • Management: Be responsible for the day to day supervision of examination invigilators and their necessary training.

Results:

  • Download results by EDI prior to publication of results
  • Produce result statements for students
  • Attend school on Results Day
  • Deal with any appeals/return of exam papers
  • Check and collate certificates
  • Review: Develop an annual report regarding efficacy of examination arrangements and suggest recommendations for development and practice.

Working with our academy: The Hundred of Hoo Academy is a unique all through academy with pupils from Reception up to Sixth Form, and whilst this role supports the entire academy, it is most likely the successful candidate will work with pupils aged 11-16 on a daily basis. In September 2011, The Hundred of Hoo converted to academy status.  Just one year later, Ofsted judged the academy as “good with outstanding features” recognising the relentless focus and ambition that we have. In September 2015 the academy welcomed its first Reception class thereby extending its age range to 4-year-old children. This exciting provision demonstrates the academy’s sense of ambition to serve the community where pupils’ academic journey represents a cradle to university principle.
