Job Description
Paul Smith is one of Britain’s leading independent design companies. We champion positivity, curiosity and creativity. These qualities underpin every Paul Smith design, whether it’s a shirt, a shop or a special collaboration. Reaffirming the values that Paul set down in 1970, ‘classic with a twist’ remains the guiding principle of the company. Happily, positioned between high fashion and formalwear, while taking reference from both, Paul Smith has always been proud to stand apart.
We are looking for a proactive, highly organised and detail-oriented individual to support our Design Director and the wider design team with day to day administrative tasks. This role requires exceptional diary and calendar management skills, a keen eye for organisation and the ability to operate efficiently in a fast-paced, creative environment.
The Role
• Proactively manage the Design Director’s diary, ensuring all meetings, appointments and travel arrangements are efficiently scheduled and prioritised. Book meeting rooms and greet visitors as required.
• Take ownership of the Design Director's design calendar, collaborating closely with the Heads of Design to anticipate upcoming needs and ensure all deadlines, meetings and key events are well-coordinated.
• Prepare the Design Director ahead of internal and external meetings with relevant documents, talking points and materials.
• To assist and work with the Design Director on a variety of tasks, including mood boards, colour boards, colour cards, research, organising the studio space and sourcing art supplies.
• To create and update design boards and decks using keynote (style, fabric, colour, research) through close collaboration with the Design Director, ensuring the boards are photographed, copied, distributed and archived when requested.
• Handle general administrative tasks such as filing, printing, post distribution, and processing P/Os, invoices, and expenses.
• Possible support during seasonal shows, presentations and key brand moments, ensuring all elements run smoothly behind the scenes.
• Ensure the Design Studio is tidy and well-organised to support a productive and inspiring creative environment.
Your Skills and Experience
• High level of computer literacy in Outlook, Microsoft Office, Keynote, Adobe Illustrator and Photoshop.
• BA in Fashion or relevant qualification would be desirable.
• Previous diary management and administration experience is essential.
• Knowledge of fashion design processes, fabric bases and colour, with experience in creating design boards.
• Understanding of seasons and able to work to strict deadlines.
• Creative background with a strong sense of style and an eye for detail.
Who you are
• Highly organised and self-motivated. Able to work in a fast paced environment and remain focused under pressure.
• A team player able to build strong working relationships and work using your own initiative when necessary.
• An excellent communicator, written and verbal.
• Excellent organisational and multitasking skills.
• Able to work in the office Monday-Friday, 9am-5pm.
What's in it for you
• A generous seasonal clothing allowance.
• Discretionary discount on Paul Smith products.
• Access to exclusive sample sales.
