As we expand our service delivery and partnership network, we are seeking an experienced and detail-oriented Bid Manager to lead the preparation and submission of competitive bids to NHS organisations - ICBs and NHS Trusts.

Working in close collaboration with our NHS Partnerships Team and Contract Managers, the Bid Manager will coordinate end-to-end bid processes, ensuring timely, compliant, and high-quality submissions that reflect SpaMedica’s strategic goals and service excellence. This role requires a strong understanding of public sector bid processes, excellent project management and writing skills, and a collaborative mindset.


Key Responsibilities

- Bid Coordination & Project Management: Lead the full lifecycle of bids and accreditations from initial opportunity review through submission, clarifications, and handover to delivery. Includes leading the NHS accreditation process for new sites and new services.

- Team Work: Work closely with the NHS Partnerships Team and Contract Managers to ensure all bid responses align with commercial strategy and contractual obligations.

- Collaborative Working: Identify key internal stakeholders/subject matter experts (SMEs) and work collaboratively to construct high quality bid responses, including through constructive feedback to stakeholders to ensure that responses fully meet the tender requirements and scoring criteria. Also, support SMEs in the production of Business Proposals as necessary.

- Content Development: Write, edit, and tailor compelling responses for Expressions of Interest (EOIs), Pre-Qualification Questionnaires (PQQs), Invitations to Tender (ITTs), and Requests for Proposals (RFPs).

- Bid Library Management: Develop and maintain a bid library of core content, evidence, case studies, policies, and templates for use in future submissions.

- Compliance & Governance: Ensure all bids are fully compliant with NHS procurement guidelines, specifications, and SpaMedica’s internal quality assurance standards.

- Timeline & Deadline Management: Develop bid timelines, manage inputs from stakeholders, and drive timely completion and submission of bids.

- Quality Assurance: Review final submissions to ensure accuracy, consistency, and alignment with SpaMedica’s brand and voice.

- Post-Bid Reviews: Coordinate post-submission debriefs and lessons-learned sessions to inform future improvements.

- Market Insight & Opportunity Scanning: Support the identification of new opportunities and maintain awareness of procurement trends within NHS Trusts and ICBs, as well as competitor service developments and tender awards.

Must Haves

- Proven experience in managing and writing public sector services bids , ideally within within healthcare - NHS or independent sector contexts.

- Understanding of public sector procurement processes.

- Excellent project management and time management skills, with the ability to manage multiple concurrent bids.

- Strong writing and editing capabilities with the ability to produce compelling, concise, and compliant content.

- High attention to detail and ability to manage complex documentation and specifications.

- Strong interpersonal and communication skills with the ability to engage a range of stakeholders.

- Comfortable working both independently and collaboratively across dispersed teams.

- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with bid and document management tools.

Nice to Haves

- APMP qualification or formal bid management training.

- Familiarity with procurement portals and submission systems used by NHS organisations.

- Experience working with clinical teams or healthcare service operations.

- Exposure to ophthalmology or elective care service environments.
