The Role

We’re recruiting for a Diary Manager here at Justice Digital, Data and Science to be part of our warm and collaborative central digital team.

The Cross Justice, Victims and Vulnerability team works across the Ministry of Justice and wider justice system to improve outcomes for victims, vulnerable people and those who interact with justice services. We bring together policy, operational delivery, analysis and stakeholder engagement to drive reform across a complex and high-profile portfolio.

Our work spans multiple parts of the justice system and requires close collaboration with agencies, operational partners and other government departments. We focus on ensuring that services are effective, accessible and centred on the needs of the people who use them.

Key Responsibilities:

The Diary Manager plays a vital role in supporting the smooth and effective running of the Cross Justice, Victims and Vulnerability team. Reporting into the Deputy Director, you will be at the heart of a busy and high-profile area, helping to coordinate priorities across a complex portfolio that spans justice policy, service delivery and cross-government partnerships.

Working in the Deputy Director's office is fast-paced, varied and rewarding. You will gain exposure to senior leaders across the Ministry of Justice, partner organisations and government departments, while developing a strong understanding of how strategic priorities are translated into delivery.

This is a highly visible role that requires excellent judgement, organisation and relationship-building skills. You will work closely with colleagues across the department and a network of business support professionals to ensure the Deputy Director's time is focused on the highest priorities and that the office runs efficiently and effectively.

In this role, you will:

  • Manage the Deputy Director's diary, ensuring time is prioritised effectively and aligned to strategic objectives.
  • Coordinate meetings, resolving competing demands and ensuring the Deputy Director is able to focus on priority issues and commitments.
  • Anticipate future requirements through proactive forward planning and effective diary management.
  • Prepare briefing packs, agendas and supporting materials to ensure the Deputy Director is fully prepared for meetings, events and engagements.
  • Arrange travel, accommodation and logistics for visits, stakeholder engagements and events.
  • Organise meeting rooms and virtual meeting arrangements across the MoJ estate and with external partners.
  • Support meetings by recording key discussions, decisions and actions where required.
  • Coordinate workshops, leadership events and team engagements on behalf of the Deputy Director.
  • Maintain effective office systems, records and processes to support efficient ways of working.
  • Build and maintain strong working relationships across the department and with key stakeholders.
  • Work closely with the wider leadership team and business support network to coordinate priorities, activities and communications across the portfolio.

Person Specification

Essential

● Diary management experience in a busy, pressured and complex environment.

● Capable of quickly building a sound, high level knowledge of a function or organisation

● Experience managing a wide range of issues with diplomacy and discretion.

● Strong communication skills, both written and verbal.

● Capable of organising and prioritising work in an environment with high levels of change

● Proactive and efficient with the ability to deliver at pace.

● Capable of building relationships easily with people at different levels of an organisation.

Salary Information**

Base salary for this role is from £33,551 - £35,564 (London) and £29,303 - £31,061 (National).

  • New entrants to the Civil Service joining the MoJ are expected to start at the minimum of the pay band.
  • Existing Civil Servants moving on a level transfer will retain their current base salary or move to the minimum of the pay band for the role, whichever is higher.
  • Existing Civil Servants who are promoted will either move to the bottom of the new grade’s pay band or receive a 10% uplift, whichever provides the greater increase.

Stage 2 - Interviews:
